Roar privacy policy
Draft for legal review, last edited October 22, 2026. It may change before it's final.
Roar is the lead alert service run by Wild Type Digital, a division of The Smithee Group ("WTD", "we" and "us" on this page). When someone fills out a Facebook or Instagram lead form for a business we work with, Roar emails their answers to the people at that business who follow up.
This page covers what Roar collects, what we do with it, how long we keep it and how to have it deleted. It applies only to Roar. The business you contacted, and Meta, have their own privacy policies.
What Roar collects
- Lead form answers
- When you submit a lead form, Meta tells Roar, and Roar reads your answers from Meta. That's usually your name, email address and phone number, plus anything else the business asked on its form. Roar also stores when you submitted it and Meta's IDs for the form, the Page and the ad.
- The business's alert recipients
- Names and work email addresses of the people who get the lead emails, and whether each email was delivered or bounced.
- WTD staff
- The name, work email address and Microsoft account ID of each staff member who signs in, and a log of what they do in Roar, including which leads they open.
Roar doesn't track you. It sets no advertising cookies, and open and click tracking is turned off in every lead email. The only cookie on Roar is the sign-in cookie WTD staff use.
How we use it
Your answers go to the business you contacted so they can get back to you. Roar also keeps track of whether someone there has marked your lead as contacted. If nobody has, Roar can send them up to two reminder emails within the next eight hours.
We use the email delivery records to catch problems, like an alert that bounced, so a lead doesn't slip through.
We don't sell your information or use it for our own marketing, and we don't use it to build ad audiences. Roar never sends lead details back to Meta, Google or any other ad platform.
Who can see it
- People at the business you contacted who are set up to receive its lead alerts.
- WTD staff who work on that business's account. Access is granted one person at a time, and every time someone opens a lead's details, it's logged.
- Microsoft, whose Azure cloud hosts Roar's servers and database and delivers its email.
Meta already has your answers, since you submitted them on Facebook or Instagram, and Meta's own privacy policy covers what it does with them. We'll share your information with anyone else only when the law requires it, for example to comply with a valid court order.
How long we keep it
Roar deletes lead form answers 13 months after they arrive, along with the records of every email sent about them. This happens automatically every night.
The raw notices Roar gets from Meta and from our email provider are deleted after 30 days (or 90 days for the rare one held back because it failed a security check).
The log of who did what in Roar is kept longer, as a security record. It doesn't contain your form answers.
The business you contacted keeps its own copy of the alert email. Ask them how long they keep it.
How we protect it
Roar only accepts encrypted (HTTPS) connections. WTD staff sign in with their company Microsoft accounts and see only the clients they've been given access to. The access tokens Roar uses to read leads from Meta are encrypted when they're stored.
Your choices
You can ask us to delete your lead information at any time. Here's how to ask. You can also email privacy@wildtypedigital.com to find out what Roar holds about you or to have it corrected.
Children
Roar isn't meant for children under 13, and we don't knowingly keep their information. If you think a child's information reached Roar, email privacy@wildtypedigital.com and we'll delete it.
Changes to this policy
If we change this policy, we'll post the new version here and update the date at the top.
